KIBEJE Terms & Conditions

1. Reservation

1-1. Reservations are accepted via the official website or by email. Telephone reservations are not accepted to avoid miscommunication. The booking is not confirmed until a written confirmation is issued by KIBEJE Hakuba.

1-2. All offers, prices, terms and conditions are subject to change or withdrawal without notice prior to a confirmation being issued.

1-3. The booking details are as per the confirmation. Any change to the number and/or the ages of guests may alter the total booking amount.

1-4. All prices are in Japanese Yen and include 10% Japanese consumption tax and service charge.

1-5. To confirm the reservation, the full amount is required 60 days before check-in.

1-6. For all bookings, a 30% deposit is required within 14 days of booking. This deposit is non-refundable. The remaining balance is required 60 days before check-in. Payment terms may vary depending on the plan booked.

2. Cancellation

2-1. The following policy applies to bookings:

  • Cancellation 60 days or more before check-in: loss of 30% non-refundable deposit.
  • Cancellation less than 60 days before check-in: 100% of booking total.

Cancellation policies may vary depending on the booking plan or agent used.

3. Arrival and Departure

3-1. Arrival and departure times must be provided to KIBEJE Hakuba via email at least 5 days before arrival.

3-2. Rooms are available from 3:00 pm on the day of check-in.

3-3. Check-out time is 10:00 am. All luggage and personal items must be removed from the chalet at this time.

3-4. Upon check-in, a copy of the guest’s credit card details will be taken for security/bond purposes.

3-5. Japanese law requires that we obtain all guests’ full names, nationalities, passport numbers, postal addresses, and occupations 14 days prior to check-in date.

3-6. Late check-out is not available, as cleaning staff are not on-site.

4. Hours

KIBEJE Hakuba does not operate a front desk reception. Guest support is available by email and phone prior to arrival, and via local contact during stays.

5. Housekeeping

5-1. Housekeeping is limited as follows:

  • Minimum stay is 5 nights or more, bed linens and towels will be refreshed every 3 days.
  • Daily cleaning services are not provided.

6. Property Damage & Loss

If a guest violates these terms or causes damage, KIBEJE Hakuba may seek compensation for cleaning, repairs, lost sales opportunities, or other damages, including:

  • 6-1. Damage, theft, or loss of property or equipment.
  • 6-2. Significant damage or soiling (e.g. spills, bodily fluids), with a minimum special cleaning fee of 50,000 JPY (excluding tax).
  • 6-3. Smoking inside the chalet or on the premises.
  • 6-4. Any charges incurred may be settled using the registered credit card.
  • 6-5. Guests must report any incidents before check-out.

7. No Smoking and No Pets Policies

  • 7-1. The chalet is entirely non-smoking, including outdoor premises.
  • 7-2. If smoking is detected, guests may be asked to leave without refund. A minimum cleaning fee of minimum いぇい100,000 JPY applies.
  • 7-3. Pets are not permitted. A cleaning fee of a minimum 100,000 JPY will be charged if pets are found on the premises.

8. Noise and Nuisance

  • 8-1. Parties and excessive noise are strictly prohibited.
  • 8-2. Outdoor spaces may not be used after 22:00 to respect neighboring residents.
  • 8-3. Complaints resulting in neighbor disturbance or law enforcement involvement will incur nuisance fees.
  • 8-4. Guests are responsible for any damages, complaints, or inconvenience caused by violating these rules.

9. Parking

KIBEJE Hakuba provides parking space but does not accept liability for vehicles or belongings. Compensation will only be provided in cases of negligence by KIBEJE Hakuba.

10. Responsibility

  • 10-1. KIBEJE Hakuba operates wholly in Japan, and Japanese law applies to all services.
  • 10-2. KIBEJE Hakuba is not liable for loss, damage, delays, consequential loss, injury, or death resulting from third parties, natural disasters, or other circumstances beyond our control.
  • 10-3. KIBEJE Hakuba cannot be held responsible for snow conditions. Bookings cannot be canceled or altered due to weather.
  • 10-4. Guests are expected to obtain appropriate travel insurance to cover cancellations, delays, or changes.
